First line of customer contact

Your first line, answered well.

Linedesk365 sorts your customer email, prepares drafts for recurring questions and sets sensitive ones aside. You approve every reply. Your team keeps its time for what needs a person: phone calls, the shop floor, the hard questions.

The first line is where everything comes in

Customer service is your company's first line. It is where customers reach you directly, and where the information the rest of your business runs on arrives: orders, complaints, questions about your products.

In a busy inbox that information gets buried under the same questions every day. Where is my order. When will it arrive. Can I still change it. Your team answers each one by hand, while the email that really needs attention waits.

What it looks like

The list shows the topic of every email. Next to the open email is a suggested reply, which a team member reads, edits and sends.

In the demo you choose how the inbox looks. There are three layouts with the same emails and the same functions: pick the one that resembles the email program your team already knows.

Classic

A toolbar at the top and a reading pane next to the list, as in many business email programs.

Screenshot of the demo in the reading-pane layout: folders on the left, customer emails with a topic label in the middle, the open email with a suggested reply on the right.

Stream

The list is the main screen, one line per email. An open email fills the screen, as in a lot of webmail.

Standard

Linedesk365's own layout: list, email and customer details side by side, with the actions right next to each email in the list.

How it works

Linedesk365 works in your own mailbox and does the groundwork. A person does the sending.

  1. Every incoming customer email gets a priority automatically and, where possible, a topic.

  2. Urgent complaints, such as spoiled products or a wrong delivery, go to the top of the queue.

  3. Routine questions get a draft reply, with the order details from WooCommerce next to it.

  4. A team member reads the draft, edits it where needed and sends it through your own mail server.

Safe because it does not decide on its own

Safety is not a switch you turn on. It is a set of fixed rules built into the software and tested again with every new release.

  • No reply reaches a customer without a person approving it.

  • Questions about food safety, allergens, payments or personal data are set aside for a team member as an escalation. A draft proposal comes with it, which your team member checks, completes and sends.

  • Amounts and order details are read from your webshop, read-only. They do not come from the AI.

  • Before every release a fixed safety test of 99 questions runs. If a single allergen, payment or privacy question is routed the wrong way, that release does not go live.

In practice

The Meat Boys uses Linedesk365 for its daily customer email. Every email gets a priority and, where possible, a topic, routine questions get a draft, and the team decides what is sent.

What stays with you

Your team remains the voice of your business. Every reply passes a team member, who can change it or discard it.

What goes away is the retyping. What remains is time for the work where a person makes the difference: the customer on the phone, the customer in the shop, the complaint that needs a conversation.

Frequently asked questions

Does Linedesk365 send replies by itself?

No. Automatic sending is off, and for food safety, payments and privacy it cannot be switched on. A team member sends every reply.

Does it work with my own mailbox?

Yes. It connects to your existing mailbox over IMAP, and replies go out through your own mail server. There is no Microsoft 365 or Outlook integration yet.

Is an AI model trained on my customer data?

We train no model of our own on your data. The system uses your team's earlier replies as examples, after names and contact details have been masked. Under its terms, our AI provider does not use data received through the API for training.

Where is my data?

The application and the database run in the EU, in Frankfurt. To draft replies, masked text and, for routine questions, photos the customer attached go to our AI provider Anthropic in the United States, under the EU standard contractual clauses.
